Ann ("Ann," "we," "us," or "our") provides an AI-assisted recruitment platform that helps hiring teams source candidates, draft job descriptions, and manage outreach. This Privacy Policy explains what information we collect, how we use it, and the choices you have, when you use Ann (the "Service").

1. Information We Collect

We collect the following categories of information:

• Account information: name, work email address, password (stored hashed), and organization details you provide when you sign up.
• Recruitment content: job descriptions, candidate resumes/CVs, interview notes, and related documents you upload or generate while using the Service.
• Connected account data (optional): if you choose to connect a Gmail, Outlook, or LinkedIn account, we access the data described in Section 3 below, strictly to provide the outreach and candidate-communication features you request.
• Usage data: log data, device/browser information, and interaction data collected automatically to operate, secure, and improve the Service.

2. How We Use Information

• To provide, operate, and maintain the Service (candidate search, job-description generation, outreach, interview scheduling).
• To send transactional communications on your behalf, when you explicitly initiate outreach to a candidate through a connected email account.
• To detect, prevent, and investigate security incidents, fraud, or abuse.
• To improve and troubleshoot the Service, including through aggregated, de-identified analysis.

We do not sell your personal information or your candidates' personal information.

3. Google API Services & Limited Use Disclosure

If you connect a Google Workspace / Gmail account, Ann requests access only to the specific Gmail data needed to let you send outreach emails to candidates on your behalf and to detect candidate replies (for example, resumes sent back to you) so they can be attached to the relevant candidate record.

Ann's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically, we do not use Gmail data for serving advertisements, and we do not allow humans to read Gmail data except: (a) with your affirmative agreement, for a specific message, in order to provide customer support; (b) where necessary for security purposes; or (c) to comply with applicable law.

You can revoke Ann's access to your Google account at any time from the "Connected accounts" page inside the Service, or directly from your Google Account permissions page.

4. Sharing of Information

We share information only with:

• Cloud infrastructure and storage providers that host the Service on our behalf, under contract.
• AI model providers, to generate job descriptions and candidate-matching insights, limited to the content necessary to perform that specific request.
• Third-party professional network integrations (e.g. LinkedIn), only when you initiate a connection.
• Authorities, where required to comply with a legal obligation.

5. Data Retention

We retain account and recruitment content for as long as your organization's account remains active, and for a reasonable period afterward to comply with legal obligations or resolve disputes. Connected-account authorization tokens are deleted immediately when you disconnect the account.

6. Security

We use industry-standard technical and organizational measures — including encryption in transit, access controls, and monitoring — to protect information against unauthorized access, alteration, or loss.

Depending on your location, you may have the right to access, correct, export, or delete your personal information. To exercise these rights, contact us using the details below.

We may update this Privacy Policy from time to time. We will post the updated version on this page with a new effective date.
